The short version
- Pay a 50% deposit to hold your place; the balance is due before the trip.
- A booking is only confirmed once we have seen your payment — submitting the form is not enough.
- Hiking is inherently risky. You take part voluntarily and at your own risk, and you must be honest about your fitness and health.
- Guides can refuse or remove anyone whose participation is unsafe. Their decision on the mountain is final.
- Bad weather may mean rescheduling. We will tell you on WhatsApp.
- Insurance cover varies by package — check what yours includes before you travel.
1. Who these terms are between
These terms form a binding agreement between you (“you”, the participant) and Kilele Adventures (“we”, “us”), of Karen, Nairobi, Kenya. They are governed by the laws of Kenya, and the courts of Kenya have exclusive jurisdiction over any dispute.
By creating an account, making a booking, or joining one of our trips, you accept these terms. If you are booking on behalf of other people, you confirm you have their authority to accept these terms for them, and you are responsible for passing on what we tell you.
2. Bookings
2.1 When a booking becomes binding
Submitting the booking form creates a pending reservation. It is not confirmed, and it holds no place, until we have received and verified your deposit. We confirm by changing the booking status in your account and contacting you. If a trip fills before your payment arrives, we will tell you and refund anything received.
2.2 Who can book
You must be 18 or over to create an account and make a booking. Under-18s are welcome on trips when booked by a parent or guardian, who remains responsible for them throughout.
2.3 Group size
Online bookings are limited to 60 people. For anything larger, or for private and corporate trips, contact us directly and we will arrange it.
2.4 Accurate information
You must give us accurate details, including a working phone number, a genuine emergency contact, and any medical condition, injury or medication that could affect your safety or ours. Section 5.3 explains why this matters.
3. Prices and payment
3.1 Prices
All prices are in Kenyan Shillings and are per person unless stated otherwise. The price that applies is the one published when you book. We calculate your total ourselves from the published package price and your group size — the figure is not taken from your browser, so a total shown to you that disagrees with our catalogue will be corrected to the catalogue price.
| Package | Indicative price |
|---|---|
| Mwanzo (Explorer) | KSh 4,500 |
| Kabila (Tribe) | From KSh 7,500 per person |
| Safari (Adventurer) | KSh 9,500 |
| Kilele (Summit) | KSh 35,000 |
Prices change from time to time. A change never affects a booking already confirmed.
3.2 How to pay
Payment is by M-Pesa Send Money. Paybill, Till and card are not yet available. Pay a 50% deposit to secure your place and clear the balance before the travel day.
Payment happens directly between you and us on M-Pesa — not through this website. After paying you upload a screenshot as proof. Use your name or booking number as the M-Pesa reference so we can match it. We are not responsible for a payment sent to the wrong number; check the number carefully before sending.
3.3 Unpaid balances
If the balance is not cleared before the travel day we may treat the booking as cancelled by you, and section 4.1 applies. We would rather talk to you than do that — tell us early if there is a problem.
4. Changes and cancellations
4.1 If you cancel
| When you cancel | Refund |
|---|---|
| More than 14 days before departure | Full refund of everything paid |
| 14 to 7 days before | 50% refund |
| Less than 7 days before | No refund, but you may transfer your place — see 4.2 |
Cancel by emailing [email protected] or messaging us on WhatsApp. The cancellation takes effect when we receive it, not when you decide.
4.2 If you transfer your place
You may pass your place to someone else up to 48 hours before departure, provided they meet the fitness requirements and give us their own details and emergency contact. Tell us first — an unannounced substitution cannot join.
4.3 If we cancel or reschedule
We may cancel or reschedule a trip for safety reasons — severe weather, impassable routes, civil disturbance, or too few participants to run it safely. If we do, you may choose a full refund of everything you have paid us, or a transfer to another date.
That is the limit of what we owe you in that situation. We are not responsible for costs you arranged separately, such as your own transport to the meeting point, accommodation, or time off work. If that worries you, travel insurance covers it and we recommend it.
4.4 Weather
Light rain is part of the adventure and we hike on. Heavy rain or dangerous conditions may mean rescheduling. We announce changes in the trip’s WhatsApp group, so keep the number you booked with reachable.
4.5 No-shows
Departure times are fixed and groups leave on time. If you miss the departure, the booking is used up and no refund is due.
5. Safety, fitness and risk
Adventure activities carry real risk
Hiking, trekking and mountain activities carry risks that cannot be removed, however carefully a trip is run. These include slips, falls, rockfall, altitude sickness, dehydration, heat and cold injury, wildlife encounters, difficult terrain, sudden weather changes, and the possibility of serious injury or death.
You take part voluntarily and at your own risk, and you accept these risks as an inherent part of the activity. Nothing in these terms excludes liability for death or personal injury caused by our negligence, or any other liability that Kenyan law does not allow us to exclude.
5.1 What we do
All guides are first-aid certified. We carry first aid kits, run emergency protocols, and maintain guide-to-hiker ratios appropriate to the route.
5.2 What you do
- Follow your guide’s instructions at all times
- Stay with the group and on the route
- Bring suitable footwear and clothing, and at least 2 litres of water — we send a packing list on booking
- Tell your guide immediately if you feel unwell or unable to continue
- Do not participate under the influence of alcohol or drugs
- Respect the environment, the wildlife, and the communities whose land we cross
5.3 Fitness and health
You must be honest about your fitness and any medical condition. We grade every adventure so you can choose one that suits you, and we are happy to advise — but the choice is yours and the disclosure is your responsibility. If you withhold something material and it contributes to an incident, that affects what we can be held responsible for.
5.4 Our guides’ authority
A guide may refuse to let someone start, or require them to turn back, where continuing would be unsafe for that person or the group — including inadequate equipment, evident unfitness, intoxication, or behaviour that puts others at risk. A guide’s decision in the field is final. No refund is due where someone is removed for these reasons.
5.5 Insurance
Cover differs by package — check yours. Mwanzo offers optional personal accident cover at KSh 500; Safari includes full personal accident cover; Kabila includes comprehensive group cover; Kilele includes mountain rescue and evacuation cover. Where cover is included it is the insurer’s policy that governs, not this document.
We strongly recommend your own travel and medical insurance regardless of package.
6. What is included
Each package lists what it includes. Transport from Nairobi is included with Safari and Kabila; for Mwanzo we provide matatu routes or a meeting point for self-drivers. Anything not listed is not included — personal equipment, additional meals, souvenirs, park fees where stated as excluded, and your own insurance.
7. Your account
You are responsible for keeping your password secure and for what happens under your account. Tell us at once if you think someone else has access. Do not create an account for anyone else, submit false payment proof, or try to interfere with the site or reach data that is not yours. We may suspend or close an account that does.
8. Photography
We photograph our trips and may use those images to promote Kilele Adventures on this site and on social media. If you would rather not appear, tell your guide at the start of the trip and we will respect it. If a photograph of you is already published and you want it removed, email us and we will take it down.
9. Content you submit
Testimonials, reviews and photographs you send us remain yours, but you give us permission to publish and display them in connection with Kilele Adventures. Do not submit anything that is not yours to give, or anything unlawful, abusive or misleading. We may decline to publish, or later remove, anything at our discretion.
10. Our liability
We will provide our services with reasonable care and skill. Subject to the risks you accept in section 5, and except for liability we cannot lawfully exclude, our total liability arising out of any booking is limited to the amount you paid us for that booking.
We are not liable for loss or damage to personal belongings, or for events outside our reasonable control — including extreme weather, natural events, road closures, strikes, civil unrest, government restrictions, or epidemic and pandemic measures.
11. Privacy
How we handle your personal data is set out in our Privacy Policy, which forms part of these terms.
12. Changes to these terms
We may update these terms. The version that applies to your trip is the one published when you booked, so a later change cannot be applied to a booking already confirmed. We will tell account holders by email about material changes.
13. Complaints
Tell us as soon as possible — ideally on the trip, so we can put it right there and then. Otherwise email [email protected] within 30 days and we will respond within 14 days.
